Use Contacts to manage your customers

The Contacts page is your customer database. Every person who has ever booked one of your classes, signed up to your mailing list, or been manually added appears here. You can see a full timeline of what they've attended, how much they've spent, whether they have outstanding credits, and any private notes or tags you've added. Use filters to build targeted segments — lapsed customers, regulars, first-timers — and message them directly from the same page.

Find a customer

  1. 1Open Contacts from your dashboard sidebar.
  2. 2Use the search bar to find anyone by name, email, or phone number.
  3. 3Click their name to open their profile: full booking history, payment totals, class credits, notes, and tags are all on one page.

Add a note or tag to a contact

  1. 1Open the contact's profile from Contacts.
  2. 2In the Notes section, click Add note and type anything you want to remember — allergies, preferences, special circumstances.
  3. 3In the Tags section, type a tag and press Enter (for example, "corporate client", "scholarship", or "no SMS"). Tags are yours to define — there's no fixed list.
  4. 4Save. Notes and tags are private — they never appear on the customer's public-facing booking or portal.

Filter your contacts to build a segment

  1. 1Open Contacts and click the Filter button.
  2. 2Choose from available filters: attended a class in a date range, has an active class credit, subscribed to your mailing list, has a specific tag, or hasn't attended in the last N days.
  3. 3Stack multiple filters — for example, "attended a pottery class" AND "hasn't booked in 60 days" to find lapsed pottery students.
  4. 4With the filtered list on screen, click Message to send a bulk email or SMS to exactly this group.

Things worth doing in Contacts

  • Tag your VIPs (customers who attend most often or spend the most) and use the tag as a filter to message them with exclusive early access to new classes.
  • Use the "hasn't attended in 60 days" filter every month and send a short re-engagement message — even a 10% win-back rate is worth the two minutes it takes.
  • Add a note with dietary needs or accessibility requirements for customers who've told you in person — you'll thank yourself when they book again and you don't have to ask twice.
  • Export your full contact list to CSV from the ⋯ menu if you need to do reporting or import into another tool.
